Why a Virtual Assistant can't create your Operations

Mar 21, 2024

Today, I want to tackle a common challenge that many business owners face, especially those exploring the world of virtual assistants.

I often get questions like, "Why can't my VA create my project management structure?" or "Why don't they understand the outcomes I want?"

Let's unravel this mystery and understand the two crucial states of operations: creation and management.

If you want the quick and dirty 3-minute version of this, check out my 3-minute ops tips video on why your VA can’t create your Operations

Operations Creation vs. Operations Management

Imagine your business as an undeveloped piece of land.

You're eager to build roads, create structures, and establish a functional parking lot.

The key lies in understanding the two distinct states of operations:

Operations Creation: This is the strategic phase, akin to hiring a city planner for your land. It involves careful planning, identifying building locations, and strategizing the end goal. Operations strategy sets the foundation for all subsequent activities.

Operations Management: This is the tactical phase, much like hiring builders to pave roads and construct buildings. Operations managers follow the laid-out plans, ensuring everything runs smoothly and aligns with the established strategy.

The Road Paving Analogy

Often times we consider hiring a Virtual Assistant (VA) at the wrong stage of our business development.

If you're expecting a VA to create processes and structures, it's akin to asking someone to drive on a road while you're still paving it.

The confusion arises because your VA excels at operations management, not creation.

Combatting the Challenge

If you find yourself grappling with this issue, the solution lies in preparation:

Document Your Processes: Start documenting your processes before hiring a VA. Provide the necessary clarity and guidelines. VAs thrive on consistency, so offering well-documented Standard Operating Procedures (SOPs) sets the stage for success.

Understand Your Needs: If you're looking to bring someone in to accelerate your operational processes, ensure you're addressing the right phase. If operations creation is overdue, consider focusing on that aspect first.
